A hardware schedule checklist for architects and designers

Start with one line per location

A schedule should let a person who missed the design meeting order the correct item. Use the same location references on the plan, joinery drawing and quotation. Separate similar-looking items when their function or dimensions differ.

• Location reference and room, such as W-01 / bedroom wardrobe.
• Door, shutter or cabinet material; thickness and measured dimensions.
• Function: fixed pull, passage handle, privacy lock, drawer runner or another defined use.
• Manufacturer, model and exact finish code when selected.
• Quantity, unit of supply and accessories included.
• Drawing number, revision, approver and required decision date.

An example of a quotation-ready brief

Illustrative brief, not a product recommendation: “W-01, bedroom wardrobe; two shutter pulls; fixing centres 160 mm; shutter thickness 18 mm; finish to approved sample FS-02. Installer to confirm screw length and clearances before order. Model pending comparison.”

The unresolved model is visible, so the example cannot be mistaken for an approved purchase. For a drawer or sliding system, attach the selected manufacturer’s planning drawing rather than assuming the same cabinet dimensions work across ranges. Approve repeated details once

For a repeated handle, hinge or drawer detail, compare a sample at a representative unit before releasing the full quantity. Check movement against adjoining walls, skirting, appliances and other shutters. Keep the signed sample reference with the schedule.

• Freeze the model and finish after approval.
• Require a new compatibility check for any substitution.
• Update the schedule revision when a decision changes.
• Keep installed model details and care instructions for handover.
